Booked and paid without a phone call
A four-step booking flow that prices a full children's party, from packages and food to extras and deposit, without a single phone call.
The Challenge
Every party booking started as a phone call. What does Gold include, is the fourteenth free, can we bring our own cake, is that Saturday still open. Staff left the floor to answer the same questions, quoted prices by hand, and a date was only really held once somebody remembered to write it down. Deposits were chased separately, and a weekend surcharge or a cancellation rule was whatever the person on the phone recalled.
The Solution
We built a booking flow in four steps: date, party, food, details. It prices the whole thing as a parent builds it. The calendar only offers slots that can genuinely be run, allowing for a 72-hour lead time, the turnaround gap between parties and the weekend surcharge. Silver and Gold packages price off an included-children count with a set rate per extra child. Four menus, and extras from face painting to candyfloss to a photographer, all with their own minimums. The deposit is taken online through Global Payments, and the cancellation, refund and postponement rules are enforced by the system rather than remembered by staff.
The Outcome
Parents choose a date, build the party, see the real price and pay the deposit without anyone picking up the phone. Every booking lands with the package, the food, the extras and the deposit already settled, against a calendar that cannot be double-booked.
